What is automated SFG20 compliance reporting?

Automated compliance reporting is a Build Concierge workflow for service and facilities businesses carrying out planned, compliance-led maintenance.

When an engineer completes a compliance job, Build Concierge retrieves the completed certificate from your job management system and checks each recorded answer against the SFG20 schedule you provide. Your customer then receives the certificate alongside a clear, branded report showing what was checked, which requirements were met, anything that needs attention and the overall result against the schedule.

A certificate isn't the same as assurance

Your engineer spends the afternoon inspecting fire doors across a busy office building. Each door is opened and released to check it closes fully, the seals and hinges are examined and any damage is noted. It's thorough, skilled work.

What your customer receives is a job sheet.

It confirms a visit took place, but it doesn't show how the work maps back to the maintenance standard they're relying on. So facilities managers ask what the certificate actually covers, your office spends time explaining or writing up separate reports, and the quality of your engineers' work goes largely unseen.

For businesses competing on compliance, that's a missed opportunity. Your engineers have carried out the checks, but the paperwork doesn't always make it easy for the customer to see how the recorded work maps back to the standard.

How automated compliance reporting works

What your engineer does

  1. Completes the compliance job as usual
  2. Answers the worksheet questions on site, with each question mapped to the relevant SFG20 schedule
  3. Marks the job as complete

What Build Concierge does

  1. Retrieves the certificate from your job management system when the job is completed.
  2. Checks each recorded answer against the relevant SFG20 schedule.
  3. Works out the result, recording which checks met the schedule requirements, which need attention and the overall result against the schedule.
  4. Builds the report, with a plain-English summary, the full checklist and a clear explanation of the recorded results and anything requiring attention.
  5. Sends it to your customer, alongside the completed certificate, the same day.

A compliance report your customers will read

Illustrative example only, based on a fictional six-monthly fire door inspection. The exact checks depend on the SFG20 schedule provided for the workflow and the requirements of the job.

At a glance

Site, job reference, engineer and inspection date, presented under your company's branding.

Overall result

  • Checks meeting the schedule requirements: 8
  • Checks requiring attention: 1
  • Unanswered checks: 1
  • Result against SFG20 schedule: 8 of 10 recorded checks met

Summary

A short, plain-English explanation of the relevant SFG20 schedule, what the engineer recorded on site and what the results show against those requirements.

Standards referenced

The standards relevant to the work, for example the British Standards that apply to the equipment inspected.

Checks against the SFG20 schedule

Every mapped check recorded during the visit, with its result, the engineer's answer and any notes. For example:

  • Door closes fully and latches from any open position · Met
  • Hinges secure, with no missing or damaged fixings · Met
  • Fire door signage present and legible · Met

! Intumescent seals intact along the full length of the frame · Requires attention · Note: seal damaged on the second floor stairwell door

? Gaps between door and frame within tolerance · Unanswered

Form gaps and data quality

Any questions left unanswered, or recorded details that need checking. In this example, the gap measurement wasn't recorded, so the report flags it for follow-up.

What this means for you

A clear explanation of the recorded results and whether any follow-up is needed. Here, that's replacing one damaged seal and confirming the missing gap measurement.

The report is sent alongside the completed certificate, so your customer has both the formal record and a clear explanation of it.

Set up around the way you work

Every compliance business works differently, so the automation is configured around your process. During set-up, we agree:

  • Which job types are covered: the recurring compliance work you want to start with, extending to other disciplines covered by the SFG20 schedules you use over time.
  • How worksheets map to the standard: you provide the relevant SFG20 schedule for the workflow, and the worksheet questions are mapped to its individual requirements so each recorded answer can be checked against it.
  • What your customer receives: your branding, the report format, and whether the job sheet and certificate are combined into a single document.
  • Who's kept informed: which customer contacts receive reports, and who in your team is copied.

Review checks

You decide how results that need attention are handled. Options can include:

  • Checks not met: flagged clearly in the report, with the result against the schedule updated to reflect them.
  • Team alerts: your office notified when a report includes items needing attention, so follow-up work can be quoted or scheduled.
  • Form gaps: unanswered questions highlighted, so incomplete records are picked up quickly.
  • Review before sending: reports held for your team to check first, if you'd rather approve them before they reach the customer.

What changes for your business

Your customer

Before: receives a certificate or job sheet with little explanation of how the recorded work maps to the standard.

  • Now: receives the certificate and a clear report showing the result of each recorded check against the SFG20 schedule.

Your office

Before: writes up reports or answers questions about what was covered.

  • Now: reports are prepared and sent automatically.

Your engineers

Before: their work is summarised in a few lines.

  • Now: every check they recorded is visible to the customer.

Consistency

Before: reports vary depending on who wrote them.

  • Now: every report follows the same format, whichever engineer attended.

Your engineers still do the skilled work. Build Concierge makes the evidence easier for your customers to see.

Is automated compliance reporting right for your business?

This workflow is designed for businesses that:

  • Carry out planned maintenance covered by SFG20
  • Work for facilities managers, managing agents or other customers with compliance obligations
  • Currently send certificates and job sheets without a supporting explanation
  • Spend office time preparing reports or answering questions about what was covered
  • Want to show customers and prospective clients how their recorded work maps to the relevant maintenance standard

Fire door inspections, emergency lighting tests and water hygiene checks are all examples of recurring maintenance that can be mapped in this way. You can start with one job type and extend the same approach to other work covered by the SFG20 schedules you use.

Common Questions

During set-up, you provide the relevant SFG20 schedule for each workflow. The worksheet questions are mapped to that schedule, so Build Concierge can compare the engineer's recorded answers with the requirements your business works to.

Job types covered by the SFG20 schedules you use can be configured once the relevant schedule has been provided and the worksheet questions have been mapped to its requirements. You can start with one high-volume, recurring job type and extend the workflow from there.

No. The report is sent alongside the completed certificate. The certificate remains the formal record, and the report explains it.

It's marked clearly in the report, and the result against the schedule is updated to reflect it. Your team can also be alerted, so follow-up work can be arranged.

They complete a worksheet with questions mapped to the SFG20 schedule, so the questions they answer on site may change. The way they complete and close jobs stays the same.

Build Concierge connects with job management platforms such as BigChange, Joblogic and Simpro. Ask us about yours.

No. The report compares the engineer's recorded answers with the SFG20 schedule provided for that workflow. It doesn't independently verify the physical work, replace your engineers' professional judgement or certification, or make a separate legal compliance determination.
