Automate welfare checks for lone engineers

Check in by call, WhatsApp or text at the times you set.

Ringing round lone engineers every few hours takes your office away from other work. Build Concierge runs those checks in the background, logs every reply against the job and alerts your chosen contact if an engineer needs help or does not respond.

Your team gets time back, and every check is on record.

Manual checks take time and can slip

When an engineer works alone, someone in the office usually checks in every few hours. Each call depends on someone remembering and stopping what they are doing.

Across a team, those calls add up. Checks can slip when the office is busy with customers. If an engineer does not answer, it may be unclear who should follow up or how quickly.

Unless someone writes it down, there is no record of the check or what was said.

How it works

  1. Start the check. The workflow runs at the times you set, for example every two hours during an engineer’s shift.
  2. Contact the engineer. Your AI Receptionist calls them by name and mentions their site. Alternatively, send a WhatsApp message or text asking them to confirm they are OK.
  3. Get a reply. A short conversation or a one-word reply is all it takes.
  4. Record the outcome. When the engineer confirms they are OK, a note and the check time are added to the job in your job management system. Calls also have a transcript.
  5. Escalate when needed. If the engineer needs help or does not respond, the workflow alerts your chosen supervisor or office contact by call, text or email.

Illustrative example

A heating engineer is working alone on a commercial boiler job. Two hours after arrival, the Receptionist calls:

“Hi Sam, it’s your welfare check from the office. Are you OK at Unit 4, Riverside Park?”

Sam confirms he is fine. A note is added to the job.

At the next check, Sam does not answer. After the retries you have set, the workflow calls the duty supervisor with Sam’s name and site address so they can follow up.

What you get

  • Time back for the office. Routine checks run in the background, so your team does not have to stop work to ring round engineers.
  • Checks on your schedule. They run at the times you set, without relying on someone remembering during a busy day.
  • A clear record of every check. See when it happened, what was said and what happened next, all logged against the job.
  • Quicker follow-up. Missed checks and requests for help go to your chosen contact with the engineer’s name and site address.
  • A familiar check-in. Calls use the engineer’s name and job details, so they feel like a check from the office.

Choose your channels

Phone call. Your AI Receptionist has a short, natural conversation with the engineer. A call is harder to miss than a message. You set how many times it retries if there is no answer.

WhatsApp. A message asks the engineer to confirm they are OK. A good fit for teams already using WhatsApp to stay in touch.

Text message. A simple SMS check works on any mobile phone without mobile data.

Use one channel or combine them, for example a text first and a call if there is no reply.

Choose how alerts reach your team too: a call to the duty supervisor, a text to the office manager or an email to your operations inbox.

What you need

  • Build Concierge connected to your job management system.
  • Your AI Concierge Receptionist set up to make calls if you want call-based checks.
  • Engineers’ mobile numbers on their records.
  • Your welfare check procedure, including check frequency, retry limits and who should be alerted.

Getting set up

  1. Define the scope. Speak to your Concierge Support team about which engineers and types of work the checks should cover.
  2. Agree the details. Set the schedule, check wording and escalation contacts.
  3. We build the workflow. We set up the Receptionist script and the workflows that start each check and act on the outcome.
  4. Test and roll out. Start with one or two engineers, then extend the checks to the rest of the team.

Common questions

As often as your procedure requires. Set the schedule, for example every two hours, in line with your lone working risk assessment.

The Receptionist can retry the call a set number of times over a set period. If there is still no answer, the workflow alerts your chosen contact.

Yes. The call or message uses details from the job record, such as the engineer’s name and site address.

You choose when checks run so they fit your engineers’ shifts.

Yes. Each check is noted against the job and call transcripts are captured, so you can see when checks happened and what was said.

No. It carries out the checks and escalations you define, supporting your existing procedure.

HSE guidance on lone working lists regular contact at pre-agreed intervals as one way to keep in touch with lone workers. Your risk assessment should determine how often checks run and what happens when one is missed.

Give your office time back

Welfare checks matter too much to depend on a spare moment. Build Concierge runs them at the times you set, records every reply against the job and alerts the right person when attention is needed.

Automate job card follow-ups

Your AI Receptionist calls or texts the engineer for the details your office needs. Missing job details can hold up invoices and delay quotes for further works. Build Concierge spots the gaps, asks the engineer for exactly what is needed and adds their answers to the job card. Your team can receive an update each time if you choose.
