At a glance

Check each incoming notification

Score the job details against the risk factors you choose.

Put flags in front of the right person

Jobs that reach your threshold get a flag on the job record and an email alert to the owner.

Keep your team in control

You set the rules. Your team decides what action the flagged work needs.

Spot the risks hidden in job details

A high-value job, an out-of-hours visit or specialist access equipment can all call for a closer look. When several factors appear together, there is more for your team to consider before the visit.

The details can be easy to miss: the value in one field, the timing in another, the access requirements in a free-text note. Without a consistent check, questions that belong at the planning stage can wait until someone reaches site.

How it works

The check starts when a job notification reaches the workflow. Your team does not need to open the job or complete a separate checklist to trigger it.

  1. Receive the notification. Your job management system emails the new job notification to a dedicated Build Concierge inbox.
  2. Read the details. Build Concierge identifies the job reference, job type and details needed for scoring.
  3. Apply your scoring rules. Each matching risk factor receives the points you set. Factors might include job value, out-of-hours work or access equipment.
  4. Check the threshold. The workflow adds up the points and compares the total with your threshold.
  5. Find the right owner. Your routing rules identify who should receive the flag, for example by job type or trade.
  6. Flag the job and alert the owner. If the total reaches your threshold, the workflow adds a high-risk note to the job, assigns it to the owner and sets it to open. It sends an email alert at the same time.
  7. Leave other jobs unchanged. Jobs below the threshold are left untouched.

What you get

  • Consistent checks. Every notification reaching the workflow is scored against your agreed rules.
  • Flags where your team works. See which jobs need a closer look on the job record.
  • Clear ownership. Each flag goes to the person selected by your routing rules.
  • An alert as well as a record. An email brings the flag to the owner’s attention without relying on them opening the job.
  • Rules that fit your business. Adjust the factors, points and threshold as your work changes.
  • Keep your existing job process. The workflow uses the notifications your system already sends.

Choose what gets flagged

  • Choose the factors. Score details available in the notification, such as value, timing, equipment, client, site or job type.
  • Weight the factors. Give more points to the factors you want to carry more weight.
  • Set the threshold. Choose the total that triggers a flag. One factor can be enough, or you can require a combination.
  • Choose the owner. Route flags by trade, region, client or contract manager.
  • Choose the alert. Add a note, flag the job record, send an email or send a text.

What you need

  • A job management system that emails a notification when a job is raised.
  • Notifications containing the job reference, job type and every detail you want to score.
  • Agreed risk factors, points for each factor and a threshold for flagging.
  • Named owners and clear rules for routing flags to them.
  • A high-risk note type in your job management system and an address for alert emails.

Getting set up

  1. Define the factors. Agree which job details need attention and how many points each factor carries.
  2. Set the threshold. Choose the total score that should trigger a flag.
  3. Map the owners. Decide who receives each flag and how the workflow selects them.
  4. Connect the notifications. Send job notification emails to a dedicated Build Concierge inbox.
  5. Build the workflow. Set up scoring, routing and alerts in the Workflow Builder.
  6. Test recent jobs. Run past notifications through the workflow and check the scores against your team’s expectations.
  7. Review after launch. Check flagged jobs over the first few weeks and adjust the factors or threshold where needed.

Common questions

Any detail included in the job notification. You could score job value, shift or attendance time, access equipment, client, site or job type.

Yes. You choose the factors, their points and the threshold. A single factor can trigger a flag, or you can require a combination.

A missing factor scores zero. It cannot trigger a flag on its own, although other factors may still take the total to your threshold. Make sure notifications include every field you want scored.

No. It highlights work that needs a closer look. Assessing and approving the work stays with your team, including risk assessments and method statements (RAMS).

The person selected by your routing rules. You can route flags by trade, region, client or contract manager.

AI reads the notification and extracts the relevant details. Scoring, thresholds and routing then follow the rules you set.

No. It runs in the background using the job notifications your system already sends.

Give flagged jobs the attention they need
