Five real automations from the Build Concierge platform, picked for the week of 19 June.

What's in this week's edition

This week's Friday Fives looks at the logic that keeps operations running consistently:

  1. Honest out-of-hours responses
  2. SLA tracking at every job stage
  3. Automatic folder creation
  4. Postcode-based job routing
  5. Speeding alerts logged without anyone touching them

Each one below is live in a real Build Concierge account right now. If any of them sound familiar, get in touch and we'll show you how to set it up.

1. Never send the wrong response outside business hours again

The moment an enquiry arrives, it checks the time and day and picks one of several tailored replies. Rather than sending the same message whatever the hour, it gives the customer an honest sense of when they will hear back, based on when their message actually landed.

It solves customers being given a response time that has no relation to when they wrote in, and your team being measured against a promise they never knew had been made.

  • Every enquiry gets an immediate, honest answer
  • Works whether it arrives mid-morning or late on a Friday evening
  • No false promises and no silence

2. Know the moment a response-time commitment is missed

At each stage of a job, a note is created with a due date based on your pre-determined response-time commitment (your SLA) for that step. When the note is marked complete, the platform automatically works out whether it was done inside or outside the agreed window. Anything that gets missed is flagged straight away, so the team can see exactly where commitments are slipping.

It solves SLA breaches going unnoticed because no one was watching the timestamps, teams finding out about a missed commitment only when the customer complains, and no view of which steps keep falling behind.

  • Every customer contact step measured against its SLA automatically
  • No manual checking, no spreadsheet
  • Breaches show up as they happen, not in a monthly review

3. Create the right folder automatically, every time one is needed

The moment something happens that needs its own workspace, a job scheduled, a quote signed, a new customer onboarded, a SharePoint folder is created automatically, named correctly, filed in the right library, and shared with the right people. They get a confirmation with a link ready to use. No one lifts a finger.

It solves folders that never got created because someone was busy, people chasing access, and documents saved in the wrong place or nowhere at all.

  • Every record that needs an organised home gets one instantly
  • The right people have access from day one
  • Documents have somewhere to go the moment they exist

4. Never manually assign a job to a region again

When a job instruction arrives, the postcode is pulled automatically and matched to the correct region or territory based on your rules and boundaries. The area is written onto the job for you, with no one in the team needing to know which postcode sits where or get involved.

It solves jobs assigned to the wrong region because someone did not recognise a postcode, work landing in the wrong queue, and the time spent unpicking it afterwards.

  • Every job lands in the correct regional queue the moment it is created
  • Consistent logic, runs on every job
  • Boundary changes mean a quick update, not a retraining exercise

5. Automatically log every speeding alert against the right engineer

When a speeding alert arrives by email from your telematics or fleet system, an AI step reads it and pulls out the engineer name, speed, location, and date and time. A note is created automatically against that engineer's record, with all the details logged and the original alert attached. No human input required.

It solves alerts sitting in an inbox and never being actioned, incidents going unrecorded, and no sight of patterns across the fleet until it is too late to do anything about them.

  • Every incident recorded in the right place the moment it happens
  • Information is structured, searchable and against the right person
  • Ready for any review or conversation that follows
