What's in this week's edition

This week's Friday Fives looks at the gaps where revenue and accuracy quietly slip:

  1. Unbilled parts and hours
  2. Duplicate customer records
  3. Inconsistent charging
  4. Missed SLAs
  5. Calls nobody wrote up

Each one below is live in a real Build Concierge account right now. If any of them sound familiar, get in touch and we'll show you how to set it up.

1. Every part, material and hour charged before the invoice goes out

When an engineer finishes a job, the Build Concierge Workflow Builder reads their job card and works out exactly what was fitted, installed or used on that visit. It then compares that against what is being charged, and anything missing is flagged before the invoice is sent.

It solves money being lost because work completed never makes it onto the invoice, materials fitted but never charged, and the hours of manual checking it takes to catch it by hand.

  • Every job checked, every day
  • No one in the office reading a single job card
  • Every part, material and hour worked charged before the invoice goes out

2. One customer, one file. Duplicates stopped at the door

Before a new customer is added, the system checks whether they already exist by name, email, phone or reference. If they do, the new job or enquiry is attached to them. If it finds several possible matches, it asks someone in the office to decide rather than guessing.

It solves three versions of the same customer in your system, job history split across duplicates, invoices raised against the wrong one, and nobody able to see the full picture of an account.

  • One customer, one file
  • All their history in one place
  • However many times they get in touch

3. Engineer reports turned into charges automatically

Instead of someone in the office reading the engineer's report and hunting through the price list, the system reads the report itself, works out what work was completed, and automatically adds the correct schedule of rates (SOR) codes and charges to the job.

It solves hours spent searching code lists, different people charging the same work differently, and the invoicing mistakes that follow.

  • Less office work
  • Faster invoicing
  • More consistent charging, the moment the report comes in

4. Never miss a contract response time again

If your contracts include agreed response or attendance times (SLAs), the system watches every one. The moment a target is missed, it spots it, finds the job it relates to, and flags it straight away. No one needs to be watching.

It solves missed SLAs slipping past unnoticed, and finding out about a missed commitment from your customer instead of your own system.

  • Know about every missed SLA the instant it happens
  • No waiting for someone to check
  • Information you can actually trust

5. Every customer call saved automatically

When a call ends, Concierge Support writes a summary of what was discussed and agreed, and saves it against the right customer automatically, before anyone has put the phone down and picked up a keyboard.

It solves calls that only exist in someone's memory, "I'm sure we agreed..." disputes with nothing to settle them, and notes that never get written because the next call has already come in.

  • Everyone can see exactly what was agreed, with no notes to write
  • Anyone picking up the account sees what was said and promised
