What is overflow call answering?

Overflow call answering is a Build Concierge workflow for service businesses whose phones get busiest at the moments that matter most. When your team can't take a call, your phone system passes it to your Concierge Receptionist instead of sending it to voicemail.

The call you never knew you missed

It's 8.40 on a Monday morning. Two of your coordinators are already on calls, and a third is helping an engineer with a problem on site. The phone rings again. It rings four, five, six times, then goes to voicemail.

The caller has a fault that needs attention today. They don't leave a message. They call the next business on their list, and the work goes with them.

What this looks like in practice

Illustrative example only, based on a fictional call.

A facilities manager calls at 10.15am to report that the heating has failed across an office building. Every line is busy, so after four rings the call passes to your Receptionist.

The Receptionist takes the caller's name, number, company and the site address, and records the issue in the caller's own words. Because the heating has failed across the whole building, the call is marked urgent. The caller is told a member of the team will call back shortly.

Instantly your team receives an email headed 'Urgent call back', with every detail laid out. The first coordinator free picks it up and calls back with everything in front of them. The caller doesn't have to repeat themselves, and the job is booked.
