Automatically flag parking fines reported on job cards

When an engineer records a Penalty Charge Notice on their job card, Build Concierge emails the job reference and the job card to the right person in your office, so nobody has to search job cards for reported fines.

Who it's for

Service businesses with engineers on the road completing job cards on site

What it gives you back

Time spent reading through job cards looking for parking fines

Works with

Your job management system and the job cards your engineers already complete

The problem

Still reading every job card to find the parking fines?

A parking fine often starts life as a single answer on a job card: "Have you received a Penalty Charge Notice?" The only way for the office to find it is to open each job card and read it. Fines are found late, and most PCNs cost more the longer they're left unpaid.

How it works, all in the background

Reads each job card

As each completed job card is emailed over, Build Concierge opens the attached file and reads it.

Finds the answer that matters

Using AI, it picks out the job reference and the engineer's answer to "Have you received a Penalty Charge Notice (PCN)?"

Acts only on a yes

If the answer is yes, it carries on. Any other answer and it stops, with no email sent.

Alerts the right person

A named member of your team receives an email with the job reference and the job card attached.

What you get

The manual way:

  • Fines recorded as one answer among many on a job card
  • Office staff reading each job card to find them
  • Fines found days or weeks later
  • Searching for the paperwork once a fine is found

Automated with Build Concierge:

  • Reported fines sent to the right person
  • No need to search job cards for reported fines
  • Your team is alerted when the job card arrives, so they can decide what to do next
  • The job reference and job card together in one email

Take it further

The same approach works for other job card answers that need someone's attention:

  • Further works identified: pass the details to your sales team as a new opportunity.
  • Parking costs: add the cost to the job as a line item, ready to recharge where your contract allows.
  • Vehicle incidents or safety concerns: alert the person responsible, with the job card attached.

What you need

  • Build Concierge connected to your job management system
  • Completed job cards sent to Build Concierge by email (we'll help you set this up)
  • A question on your job card asking whether a PCN has been received
  • A named person or team inbox to receive the alerts

  3. We test it with real job cards, then switch it on.

Common Questions

No. It sends the fine to the right person, with the job card attached, so they can decide what to do.

No. As long as your job card asks whether a PCN has been received, they complete it as they do today.

Only a clear yes triggers an alert. If you'd like unclear answers flagged as well, we can set that up.
